COVID-19 Coronavirus

Current Situation: REOPENING Saturday 25th July

Update – 5th July 2020

Dear Member,

I wanted to reach out to you all personally to keep you informed on the current status that we find ourselves in and plans to reopen our doors to all of our members. I don’t think that any of us thought we’d be in this position some 4 months ago when we made the unavoidable decision to close our doors, our eagerness to return is only building as each week passes, but right now, everyone’s safety is our top priority. It has been a very testing time for all small businesses out there and I want to extend such gratitude to everyone who has helped during this time.
Moving on to some exciting news, during this time away from our busy day to day operations, we have been working hard on implementing a new application based membership system. This new system will allow parents to login to their customer portal and book into classes, camps, parties etc all from their smartphone or desktop. We are asking families to start signing up to this system shortly and you will receive more information in the coming days.
Moving on, please be assured that we are being proactive in working with our National Governing Body and lobbying for support to open our doors to you as soon as possible, hopefully in the not too distant future. When we are given the authority to reopen, you can expect there to be some inevitable changes on return. These new processes are highlighted in the attached video and to include, but are not exhaustive, of,
  1. Staggered start and finish times for each class
  2. A one way system for access and exit to the building
  3. Separate socially distant waiting areas for each class in our waiting room
  4. Individual boxes for all our members to place any belongings which they will take with them
  5. Zonal areas in the main gym working on a weekly class rotational system
  6. Social distancing spots marked in the main gym
  7. Installation of hand sanitising units across the gym
  8. Posters to guide and advise gymnasts
  9. Smaller group sizes across the entire gym
  10. Assigned toilets for each group
  11. Full apparatus cleaning between classes
  12. Full gym sanitising/decontamination at the end of each day
Furthermore, we have an appointed COVID officer to monitor the welfare of all attendees to the premises, staff and members alike, and to oversee our COVID risk assessment and mitigation plan, ensuring all staff are inducted and trained to keep our gym as safe as possible.
I sincerely hope that we will hear of a return to gymnastics shortly, a sport that offers so much more than physical activity. As soon as we do hear of anything regarding reopening, I will be in touch.
In the meantime, stay safe and take care,
Jeff Kincaid

Online content

Following the recent Government announcement that sees an extension to the lockdown, I wanted to take this opportunity to write to you again.

We want you to know that we are still here and appreciate everyone of you who continues to support our family run business. Whilst we are away from our ‘norm’, we have been busy providing and putting together online content for all members to benefit from. These videos feature on our YouTube channel and Facebook account and can be seen here, it includes workout videos, pre-school sing-a-longs and some fun challenges too.

With every day that passes, we continue to monitor government advice and hope we will shortly hear on when/how these restrictions may be lifted, so we can plan on our re-opening. Ultimately, we want to get back to doing what we love as soon as possible, but are committed to following government advice to ensure we do this in the safest way possible. We will continue to stay in touch with all our members with further information, when we receive it.

I do want to add at this stage, that whilst we live in strange times, it has been such a joy to see what a great community we have. The acts of kindness, generosity and selflessness I have seen have humbled me. I know that many of you are key workers and I want to thank you for all you are doing at this time.

In the meantime should you have any queries, please do not hesitate to contact our administrator, Jo, on this email address jo@thegymacademy.co.uk.

I encourage you all to remain positive and stay safe.

Kind Regards,

Liz Kincaid

Member Message from Director, Liz

Following Boris Johnson’s address this evening, urging all leisure centres, pubs and gyms to close tonight we have made the decision to bring forwards our closure to 9pm this evening, Friday 20th March.

The health and wellbeing of all our staff and members must remain paramount and we are committed to following all government guidance. All classes not taken tomorrow and over the break, will be credited to your child’s account.

I also want to take this moment to thank everyone who has shown such kindness and generosity over the last few day. The outpouring of support you have shown in this uncertain time, has filled us with hope. It is clear that Portishead does not want to lose The Academy and we certainly don’t want to lose our members!

Don’t forget if you have not yet re-registered for the new term, and are in a financial position to do so, please visit our website to re-enrol and help in this time of need. Any payment will be credited to your account for when we re-open and will alleviate any cash flow problems that may arise in the coming months.

We will also look to be uploading some educational videos over the break to keep your little ones active and engaged with their gymnastics and dance, more information will follow.

Thanks again and I hope to see you all soon,

Liz

Member Message from Director, Liz

It seems things within the UK are moving quickly and every day we are faced by new challenges and threats as a small business. Following the Prime Minister’s address last night, we have discussed the best way forwards as a business with operations, values and health in mind.

We have made the very difficult decision to close our doors after classes on Saturday 21st March, in line with the UK school closure, until further notice. As previously emailed, at this date all accounts will be frozen until which point we are able to recommence classes.

It is an uncertain time for the Country and no more so for small businesses like ourselves, however health and our responsibility to our members must prevail. Our club is a not-for-profit organisation and our only source of funding is through member’s fees. We hope this closure will be short lived and the effects on our business will be manageable, your goodwill during this time will be greatly appreciated.

Best wishes to all our members and stay safe,

Liz

We’d like to thank those members who have already re-registered for next term. These are extremely uncertain times, particularly for small businesses like ours, however your custom allows us to continue to deliver gymnastics and dance classes to those in Portishead and the surrounding areas.

We wish to reassure you that should we be directed to temporarily close our facility, credit will be applied to your account as a result of missed sessions.

Remember all operational updates will be posted on our social media pages and on our COVID-19 Update Page.

For the time being, it’s business as usual. We love what we do here at The Academy, and can’t thank you enough for your continued support.

Dear Members,

We wanted to send out a further update regarding the evolving Coronavirus outbreak.

As of today, operations are continuing as normal. All classes are running as scheduled. We are closely following the direction from government agencies and will of course keep you updated with any changes as and when they arise.

Those of you that have visited us since Friday, will have noticed the introduction of our new hand washing procedure (prior to entering the building). We are really pleased with how our members have embraced the adoption of this new system and ask that you and your children continue to make use of this facility when entering The Academy. When in the building, please make use of our hand washing facilities within the bathrooms. Hand sanitiser is also available and we particularly encourage you to make use of this before consuming food and drink within our Café.

Following on from government advice issued on Friday, if you or your child are suffering from a new and persistent cough, fever or shortness of breath we ask that you DO NOT enter our facility.

We will continue to update our website and social media with any operational changes as and when they happen www.thegymacademy.co.uk

Thank you for your continued cooperation and support during these most uncertain times.

12th March 2020

Dear Members,

We are writing to you because the health and well-being of our members and staff is our top priority. I am sure you are all aware of the recent COVID-19 (coronavirus) illness that is spreading across the UK. We want you to know that we are continuing to uphold our high standard of cleanliness, alongside new procedures we have implemented and documented below:

  • New Hand Wash Basins – we are currently building a new outdoor hand wash basin that will be a mandatory station for all users before entering the building. In the meantime, please continue to wash hands regularly in the bathrooms
  • Regular Deep Cleans – a weekly deep clean of all equipment and common areas has started and is topped up daily
  • Communal Cleaning – areas of high volume will have surfaces, including door handles, cleaned hourly
  • Supplies – we have hand sanitiser available for use at the reception desk, café and main gymnasium, alongside tissues. Simply ask a member of staff and remember washing with soap is preferred
  • Toy Removal – we have removed toys from our communal area and removed teddys and equipment not easily cleaned from our Pre-School and Gymnastics Circuits

We also ask that you help us keep our gym a safe place for all its users and adopt the following NHS guidelines:

  • Wash your hands often with soap and water for at least 20 seconds
  • Always wash hands when you get home or into work (or to the GYM!)
  • Avoid touching your eyes, nose, or mouth with unwashed hands
  • Cover mouth and nose with a tissue or sleeve when coughing or sneezing, then throw the tissue in the bin and wash your hands
  • Avoid close contact with people who are unwell (therefore, please do not bring your child to gym if they have cold or flu-like symptoms)

In terms of business operations, we will be continuing as normal with the above added procedures. However, should we receive an official closure notice, all classes will cease and your child’s account will be credited for any missed classes. This will also be the case for any other events you may have booked with us including holiday camps and parties. We will continue to update our website and social media with any operational changes as and when they happen www.thegymacademy.co.uk

For more information on COVID-19, please visit the NHS information page on https://www.nhs.uk/conditions/coronavirus-covid-19/ and use the 111 emergency number if you or your child are displaying symptoms.
